How the price is calculated

Total cost

Each cost is counted once or multiplied by the number of travelers, depending on how the supplier charges it.

Markup or margin

Markup is added on top of the cost; margin is the share of the selling price that stays with the agency. A 20 % margin needs a 25 % markup.

The figures are calculated on your device and saved only in this browser.

A worked example: a week for two

Two travelers and six hotel nights, as in the example the calculator opens with. Return flights at $640 each ($1,280), the hotel at $1,380 for the stay, airport transfers at $120, tours and tickets at $185 each ($370) and travel insurance at $58 each ($116). The trip costs the agency $3,266.

With a 15 % markup, the price is $3,266 × 1.15 = $3,755.90, or $1,877.95 per traveler. The agency keeps $489.90, which is a 13.04 % margin on the selling price.

If you want to keep 15 % of the selling price instead, divide by 0.85: $3,266 ÷ 0.85 = $3,842.35, or $1,921.18 per traveler, and the agency keeps $576.35. That’s a 17.65 % markup. On this one trip, mixing up markup and margin is a difference of $86.45.

The formulas, and VAT

Price with a markup: cost × (1 + markup). Price with a margin: cost ÷ (1 − margin). One converts into the other with margin = markup ÷ (1 + markup), so a 25 % markup is a 20 % margin and a 15 % markup is a 13.04 % margin. A margin of 100 % or more can’t be reached, and the calculator says so.

The calculator doesn’t add taxes. In the EU, travel agents who deal with travelers in their own name and use travel services bought from other businesses fall under the special VAT scheme of Articles 306 to 310 of the VAT Directive. The trip counts as a single service, taxed in the country where the agency is established; the taxable amount is the agency’s margin, not the whole price; and the VAT charged by suppliers for the traveler’s direct benefit can’t be deducted.

The part of the agency’s service that relates to services carried out outside the EU may be exempt, and the scheme doesn’t apply when the agency acts only as an intermediary. Each country writes the scheme into its own law, so check the rate and the method with your accountant.

For travel agencies

The calculator prices one trip. The software you run the agency on is a cost of its own, and it grows differently depending on how the vendor charges: per seat, per agency or per passenger. Our cost guide compares the listed prices of the main itinerary tools for one, three and ten users, and the pricing page shows what Viaondo costs.

Questions about pricing a trip

What’s the difference between markup and margin?
Markup is a percentage of your cost; margin is a percentage of the selling price. On a 1,000 cost, a 25 % markup gives a price of 1,250, and the 250 profit is a 20 % margin.
Are taxes included?
The calculator works with the amounts you enter. If your country taxes the agency’s margin (as the EU’s special VAT scheme for travel agents does), add that tax to your own calculation.
Is the calculation saved?
Yes, only in this browser on this device. Nothing is sent to our servers.

From the price to the trip in the client’s hands

Once the trip is sold, Viaondo turns it into a branded app that holds each booking with its documents.
